Best AI receptionist for clinics in 2026: thirteen options compared

HeyCAi is the best fit for most health clinics that want one AI receptionist for phone calls and WhatsApp: it answers both 24/7 and books straight into the clinic’s own software, such as PracticeHub, Cliniko, Jane App or Google Calendar, for any specialty. If you want a person on every call, a human answering service suits you better.

We make HeyCAi, so read this with that in mind. Everything about the other 12 providers comes from their own websites, checked on 6 November 2026, with links.

Side by side

AI receptionists for clinics, compared

HeyCAi first, then the providers clinics most often weigh it against, grouped by who answers the phone.

How we compared: on 6 November 2026 we read each provider’s own website (home, pricing, healthcare or clinic pages, integrations and help pages) and wrote down what it says about channels, the software it books into, languages, countries and its starting price. Where a site doesn’t say, the table says so.

We didn’t run test calls with each provider and nobody paid to be listed. Prices change and some exclude tax: check the provider’s page before you buy.

Six ways to answer your clinic’s phone

An AI receptionist is one way to answer the phone. Here it is next to the others, on what a clinic needs. Providers within a category differ, so check the details with any you consider.

Comparison of six ways a clinic can answer its calls (one per column), on eight criteria (one per row)

Where HeyCAi fits, and where it doesn’t

HeyCAi is one of the AI receptionists built for clinics. This is where we think it is a good choice, and where something else will serve you better.

Try the live demo

A good fit if

  • Your calendar is in PracticeHub or QuiroHiro, or in software with an API, such as Cliniko, Jane App or Google Calendar.
  • You want calls and WhatsApp messages handled in one place, with reminders sent for you.
  • You run a physiotherapy, chiropractic, osteopathy or any other health clinic, with one practitioner or several.
  • You want to keep your number and choose when CAi answers: when you’re busy, out of hours or always.
  • You want to try it with your patients before you commit. 30-day free trial.

Not the right fit if

  • You want a person to answer every single call: an answering service suits you better.
  • Your calendar can’t take bookings from other tools. It depends on your software: we look at it together on the video call.
  • You need urgency assessed or clinical advice given on the phone. CAi does neither.
  • Many of your patients call in a language other than English or Spanish, the two CAi speaks.

Before you sign

How to choose: eight questions to ask any provider

These are the criteria we compared providers on. Put the same questions to everyone on your shortlist, people or AI, and the answers make the choice for you.

  1. Does it book straight into my practice software, or take a message?

A booking in your own software is the point: the patient hangs up with an appointment, not a promise of a call back. Ask the provider to book a test appointment into your system during the demo. HeyCAi books directly into PracticeHub, QuiroHiro, Cliniko, Jane App, Google Calendar and Organízate.

  2. What happens at lunchtime, in the evening and on public holidays?

Many new patients call on their lunch break or after work, just when the front desk is closed or busy. Check whether the service answers around the clock or only during set hours, and whether night calls cost more. HeyCAi answers 24/7, holidays included, and you decide when calls go to it.

  3. How many calls can it take at once?

A receptionist takes one call at a time, so the second caller hears the phone ring out or reaches voicemail. Busy hours, such as Monday morning or the day after a holiday, are when that loses patients. Ask how many calls the plan answers at the same time. HeyCAi answers several calls at once.

  4. Does it answer WhatsApp as well as the phone?

Many patients would rather message than call, above all to move an appointment. Most AI receptionists only answer calls and send texts, so check whether WhatsApp means a real conversation or just reminders. HeyCAi answers patients on WhatsApp and sends the reminders there, so calls and messages end up in one place.

  5. Does it know my appointment types, practitioners and prices?

Clinic bookings follow rules a general booking tool doesn’t know: a first assessment runs longer than a follow-up, and some treatments only one practitioner offers. The receptionist should know your appointment types, their length and who does what, and say only what you have approved. HeyCAi works with the information you approve, for any specialty.

  6. What does it do when it doesn’t know the answer?

It should say so and pass the patient to a person. It should never guess and never give clinical advice. Ask to hear it handle a question it can’t answer. HeyCAi puts the call through to you or an on-call number, or takes a message and alerts your team on WhatsApp, whichever you choose.

  7. Will it sign a data processing agreement?

Under data protection laws such as the GDPR, your clinic is responsible for its patients’ data and the provider processes it for you, so you need a written agreement that says how. Ask for it before you sign, with the list of other companies it relies on. With HeyCAi, the agreement is available from privacy@heycai.ai.

  8. Can I hear it with my own clinic before I pay?

A demo built on your clinic’s details tells you more than any feature list: how it greets patients, how it books and how it sounds. Ask for one, then try it with real patients if the provider offers a trial. HeyCAi’s demo reads your website and calls your phone, and the plan starts with a 30-day free trial.

Questions

Frequently asked questions

Still deciding? Hear CAi answer a call as your clinic, then decide.

What is the best AI receptionist for a clinic?

The one that books into your practice software, answers WhatsApp as well as calls, hands a call to a person when needed and signs a data processing agreement. HeyCAi does all four, for any specialty. Of the others we checked in November 2026, Lyngo, Aeva and BookedSolid book into practice software such as Cliniko, and My AI Front Desk can answer WhatsApp. Hear each one answer as your clinic before you choose.

How much does an AI receptionist cost?

Most charge a monthly plan with a set number of minutes, calls or callers, and a charge beyond that; some charge per practitioner, and human answering services usually charge per minute or per call. The starting prices each provider publishes are in the table above. Our guide to AI receptionist cost explains the models and how to work out the cost per booked appointment.

Which AI receptionists answer WhatsApp?

Few do. Of the providers on this page, checked in November 2026, HeyCAi answers patients on WhatsApp and sends reminders there, and My AI Front Desk lets customers message its AI on WhatsApp once support turns it on. The rest answer calls; some add texts, email or web chat. If your patients message more than they call, check this first.

Is an AI receptionist better than a telephone answering service?

An answering service gives every caller a person, which some patients prefer, but many services take a message rather than book. An AI receptionist answers every call at once, at any hour, and can book straight into your calendar. Which is better depends on what you need: many clinics use AI for overflow and out of hours and keep people for the rest.

Does my practice software have its own AI receptionist?

Usually not yet. When we checked their sites in November 2026, Cliniko listed AI receptionists from other companies among its connected apps rather than offering its own, Jane App described its AI receptionist as in development and PracticeHub’s site didn’t show one. So most clinics add an AI receptionist that books into the software they already use.

Why is HeyCAi first on this page?

Because we make it, and it is the option we know best. Every detail about another provider comes from its own website, checked on 6 November 2026, with a link to it. If something has changed, write to hey@heycai.ai and we will correct it.

How does HeyCAi charge?

HeyCAi is a monthly plan with no lock-in. Plans and an estimate for your clinic are on our Pricing page; the exact price depends on your practitioners, sites and minutes, and we confirm it on the video call.

Is an AI receptionist GDPR compliant?

It can be, but check. Your clinic is the controller of your patients’ data and the provider is the processor, so ask for a data processing agreement and where data is processed. With HeyCAi, a data processing agreement (DPA) is available: ask for it at privacy@heycai.ai.

Live demo

Hear it before you choose

Enter your clinic’s website and your phone number. CAi reads your site and calls you as your clinic’s receptionist, so you can judge it for yourself.

  1. Type your clinic's website and your mobile.
  2. CAi reads your website and gets ready as your reception.
  3. It calls you: answer as if you were a patient.
  • The demo is free: no card, no sign-up, no commitment.
  • Your phone rings in about 30 seconds.

By requesting the demo you agree that we call you on this number and handle your data as set out in our privacy policy. The demo call is recorded and transcribed, and our team reviews it to get back to you.
