Ruby receptionist alternatives for clinics in 2026
Ruby is a US live receptionist service: people answer your calls and website chat in English or Spanish, billed by the minute. For a clinic, the main alternatives are HeyCAi, an AI receptionist that answers calls and WhatsApp and books into your practice software; Smith.ai, which mixes AI and live receptionists; and AI lines like My AI Front Desk.
We make HeyCAi, so read this with that in mind. What we say about Ruby and the other providers comes from their own websites, checked on 6 November 2026, with links.
When Ruby fits better
Why clinics look for a Ruby alternative
Ruby puts a real person on your phone, and for some clinics that is exactly right. These are the points where a clinic may want something else, and the ones where Ruby is still the better choice.
You may want an alternative if
- You want AI to take the calls instead of paying for human minutes. Ruby sells them in bundles, so a busy month uses them up faster.
- You want the appointment booked in your practice software. Ruby’s receptionists keep calendars such as Google Calendar and Calendly; its site names no clinic software.
- Your patients message you on WhatsApp, which Ruby’s site doesn’t mention.
- Your clinic is outside the United States, Canada and the US Caribbean, the areas Ruby serves.

HeyCAi at a glance
Where HeyCAi fits, and where it doesn’t
HeyCAi is one of the alternatives. This is where we think it is a good choice, and where something else will serve you better.
A good fit if
- Your calendar is in PracticeHub, QuiroHiro, Cliniko, Jane App, Google Calendar or Organízate.
- You want calls and WhatsApp messages handled in one place, with reminders sent for you.
- You run a health clinic of any specialty, with one practitioner or several.
- You want to keep your number and choose when CAi answers: when you’re busy, out of hours or always.
Not the right fit if
- You want a person to answer every single call: a live answering service suits you better.
- Your calendar can’t take bookings from other tools. It depends on your software: we look at it together on the video call.
- You need urgency assessed or clinical advice given on the phone. CAi does neither.
Questions
Frequently asked questions
Hear CAi answer a call as your clinic, then compare.
What is the best Ruby alternative for a clinic?
If you want calls and WhatsApp answered at any hour and booked into your practice software, HeyCAi. If you want people to stay part of the service, Smith.ai mixes an AI receptionist with live receptionists. For a cheaper AI line in the US, Rosie, Goodcall or Dialzara. Details checked on each provider’s site in November 2026.
Is an AI receptionist as good as a person?
Not at everything. A person is better with an upset patient, a complaint or anything that needs judgement. An AI receptionist answers every call at once, at any hour, and books into your calendar while the patient is on the line. Many clinics use AI for the calls the team can’t take. We compare the two in AI receptionist vs human receptionist.
Does Ruby book appointments into clinic software?
Its receptionists can keep a calendar up to date: its integrations page names Google Calendar and Calendly, plus Zapier for other apps. Its site doesn’t name any clinic practice software. We checked it in November 2026.
How does HeyCAi charge?
HeyCAi is a monthly plan with no lock-in. Plans and an estimate for your clinic are on our Pricing page; the exact price depends on your practitioners, sites and minutes, and we confirm it on the video call.
Why is HeyCAi on this page?
Because we make it, and we think it is a good alternative to Ruby for many clinics. Every detail about Ruby and the others comes from their own websites, checked on 6 November 2026, and the page says when Ruby is the better choice. If something has changed, write to hey@heycai.ai and we will correct it.
