An honest comparison for UK clinics

Best AI receptionist for UK clinics: the options compared

Seven ways a UK clinic can answer its phone, from a receptionist on the front desk to an AI receptionist built for clinics, compared on what a practice owner actually needs. HeyCAi is one of them, and we say where it doesn’t fit.

Fair to every option

When each option makes sense

None of them is right for every clinic. Here is when each one is the sensible choice, and what to watch for.

  • An in-house receptionist

    Makes sense when

You have a busy front desk: patients checking in and paying, an upset patient who needs a kind word, paperwork that needs a person. Nothing beats someone in the room.

    Watch for

One call at a time, and the phone rings while they’re with a patient. Evenings, lunchtimes and holidays still go unanswered.

  • A telephone answering service

    Makes sense when

You want a human voice on every call, mainly to take messages or handle overflow, and your patients expect to speak to a person.

    Watch for

They know your clinic as well as the script you give them, and many take a message rather than book. Cost grows with the number of calls.

  • A switchboard menu or voicemail

    Makes sense when

You get few calls, your patients are happy to leave a message and someone rings everyone back the same day.

    Watch for

Plenty of callers won’t leave a message, especially new patients. Nobody gets booked until someone calls back.

  • Doing nothing

    Makes sense when

Your diary is full for weeks ahead and you aren’t taking new patients. Then a missed call costs you little.

    Watch for

The rest of the time, an unanswered call is often a patient who books with the next clinic on their list.

  • A general AI receptionist

    Makes sense when

Your diary is a general calendar, your calls are simple and you’re happy to set everything up yourself.

    Watch for

Clinic details: appointment types and lengths, several practitioners and how it hands a call to a person. And whether it signs a DPA.

  • An AI receptionist for clinics

    Makes sense when

Your practice software is one it books into, and you want calls answered and booked at any hour without taking on staff.

    Watch for

Check exactly which software it supports, whether it handles WhatsApp and how it hands a call to a person.

A good fit if

  • Your diary is in PracticeHub or QuiroHiro, or in software with an API, such as Cliniko or Google Calendar.
  • You want calls and WhatsApp messages handled in one place, with reminders sent for you.
  • You run a physio, chiropractic, osteopathy or any other health clinic, with one practitioner or several.
  • You want to keep your number and choose when CAi answers: when you’re busy, out of hours or always.
  • You want to try it with your patients before you commit. 30-day free trial.

Not the right fit if

  • You want a person to answer every single call: an answering service suits you better.
  • Your diary can’t take bookings from other tools. It depends on your software: we look at it together on the video call.
  • You need urgency assessed or clinical advice given on the phone. CAi does neither.
  • Many of your patients call in a language other than English or Spanish, the two CAi speaks.

Before you sign

How to choose: eight questions to ask any provider

Put the same questions to every option on your shortlist, human or AI. The answers make the choice for you.

  1. Does it book straight into my diary, or take a message?

Ask to see it book a test appointment into your own software.

  2. What happens at lunchtime, in the evening and on bank holidays?

Most new patients ring when they finish work.

  3. How many calls can it take at once?

Monday mornings and the first hour after a bank holiday are when it counts.

  4. Does it answer WhatsApp as well as the phone?

Many patients would rather message than call.

  5. Does it know my appointment types, practitioners and prices?

And does it only say what you have approved?

  6. What does it do when it doesn’t know the answer?

It should say so and pass the call or a message to your team, never guess.

  7. Will it sign a data processing agreement?

Your clinic is the controller of patient data under the UK GDPR.

  8. Can I hear it with my own clinic before I pay?

A demo with your details tells you more than any feature list.

Questions

Frequently asked questions

Still deciding? Hear CAi answer a call as your clinic, then decide.

What is the best AI receptionist for a UK clinic?

The one that books straight into the diary you already use, knows your appointment types and practitioners, answers WhatsApp as well as calls, hands a call to a person when it can’t help and signs a data processing agreement with you. Shortlist two or three on those points, then hear each one answer as your clinic before you sign.

Is an AI receptionist better than a telephone answering service?

It depends on what you need. An answering service gives every caller a person, which some patients prefer, but many services take a message rather than book. An AI receptionist answers every call at once, at any hour, and can book straight into your diary. Many clinics use one for overflow and out of hours and keep people for the rest.

Will an AI receptionist replace my receptionist?

Usually not, and it works best when it doesn’t. The AI takes the phone and WhatsApp so your receptionist can look after the patients in front of them. We compare the two in detail in AI receptionist vs human receptionist.

Does my practice software have its own AI receptionist?

Usually not yet. When we checked their sites in October 2026, Cliniko listed AI receptionists from other companies among its connected apps rather than offering its own, Jane App described its AI receptionist as in development and PracticeHub’s site didn’t show one. So most UK clinics add an AI receptionist that books into the software they already use.

How do AI receptionists charge?

Most charge a monthly plan, sometimes with a set number of minutes or calls and a charge beyond that; some charge per practitioner. Ask what happens in a busy month. HeyCAi is a monthly plan with no lock-in, and we give you the price on a short video call.

Is an AI receptionist GDPR compliant?

It can be, but check. Your clinic is the controller of your patients’ data and the provider is the processor, so ask for a data processing agreement and where data is processed. With HeyCAi, A data processing agreement (DPA) is available: ask for it at privacidad@heycai.ai.

Can I keep my clinic’s phone number?

Keep your number: calls go to CAi when you can’t answer, out of hours or always. You choose.
