For osteopathy practices

AI receptionist for osteopaths

You’re halfway through a first consultation, hands on a patient’s lower back, and the phone in the next room rings again.

CAi answers for your practice, books the caller into the right appointment type and leaves you a note on WhatsApp, so the treatment carries on without a break.

  • Answers while you’re treating
  • Books first consultations and follow-ups
  • Knows which osteopath each patient sees

Calls to an osteopath

What patients ring an osteopath about

Many calls are about the first appointment, who you see and whether a referral is needed. CAi handles each one with the answers your practice has approved.

  1. New patients and first consultations

A first visit takes longer than a follow-up because you take a full case history. CAi books it as a first consultation, with its own length in the diary, and asks the patient to allow extra time.

  2. Parents asking about babies and children

Parents often ring to ask whether you see babies, toddlers or older children. CAi replies with exactly what you’ve told it to say, books them in if you do, and never judges whether treatment suits the child.

  3. Mums-to-be during pregnancy

Pregnant patients ask whether they can book and at what stage. CAi reads out the information your practice has approved, books the appointment or takes a message for you, and leaves every clinical question to you.

  4. Runners, sports injuries and desk necks

A runner with a tight calf the week before a race, an office worker with a stiff neck after long days at the screen. CAi takes their name, phone number and reason for calling, then offers the earliest suitable slot.

  5. Callers asking about GP referrals

Some callers think they need a letter from their GP before they can book. CAi answers with your approved wording and, if they can come straight in, offers the first suitable slot.

Live call
A mum ringing about her baby

Chloe Hi, I wanted to ask whether you treat babies. My daughter’s just a few weeks old.

CAi Thanks for calling. The practice has asked me to tell you that our osteopath sees babies and young children. Whether it’s right for your daughter is something the osteopath will talk through with you at the first appointment.

Chloe Okay. Is the first one longer?

CAi Yes, a first consultation is booked as a longer appointment, so there’s time for your questions. I have Thursday at a quarter past ten or Friday afternoon at three. Which suits you better?

Chloe Thursday’s good. It’s Chloe Parker, and my daughter is Isla.

CAi Thank you, Chloe. Isla is booked in for a first consultation on Thursday at a quarter past ten. I’ll send the confirmation and what to bring to this number on WhatsApp.

Chloe Lovely, thanks very much.

CAi You’re welcome, Chloe. See you both on Thursday.

Where CAi stops

Front desk work, never the osteopath’s judgement

CAi does what the receptionist at an osteopathy practice would. Anything that needs your clinical eye comes to you, with a note of what the patient said.

CAi waving hello

What it does

  • Books first consultations and follow-ups with the length each one takes in your diary.
  • Keeps a returning patient with the osteopath they usually see.
  • Tells callers whether you see babies, children or pregnant patients, in your own words.
  • Answers whether a caller needs a GP referral, with the wording you approve.

What it leaves to you

  • It never says whether osteopathy is suitable for a baby or during a pregnancy.
  • It never interprets symptoms such as back pain, pins and needles or headaches.
  • It never promises how many sessions someone will need or how they’ll feel afterwards.
  • It doesn’t assess urgency or give clinical advice: that’s for your team to decide.
Your clinic

Your clinic: Hi Tom, a reminder of your appointment with the osteopath tomorrow at half past five. Please wear loose clothing and bring any scan reports you have.

Patient: Thanks. Can I bring the letter from my GP as well?

Your clinic: Yes, please do. The osteopath will go through it with you.

Patient: Great. Is there parking nearby?

Your clinic: There’s on-street parking just outside the practice. See you tomorrow, Tom.

WhatsApp for your patients

Messages that get patients ready for the treatment room

CAi sends the WhatsApp messages your reception would, written the way your practice talks to its patients.

  • A reminder with what to bring

The day before, patients get their appointment time and a note to wear loose, comfortable clothing and bring any scan reports or letters from their GP.

  • Confirmation as soon as they book

When CAi books a first consultation, the patient gets the date, the osteopath’s name, the address and how long to allow for the visit.

  • A check-in after treatment

A few days after a visit, a short message written by your practice asks how the patient is getting on and offers to book the next appointment. No clinical content.

  • Patients you haven’t seen for a while

People who came for a few sessions and then stopped get a friendly note from the practice inviting them to book in again whenever they’re ready.

For you and your team

Ask CAi between patients

Between treatments you can message CAi on WhatsApp as you would a receptionist, and it answers from your diary and the calls it has taken.

  1. YouWho’s booked in for a first consultation this afternoon?
  2. CAiTwo first consultations this afternoon: a runner with a calf injury and a new pregnant patient. Both have their WhatsApp confirmation.
  3. YouDid any parents ring about babies while I was treating?
  4. YouMove Mrs Patel’s follow-up to Friday morning, please.
  5. YouWhich patients haven’t been back since the summer?

Your diary

Booking straight into your osteopathy diary

CAi looks at your live diary during the call, offers slots that are really free and books first consultations and follow-ups with their own length.

  • Cliniko

CAi checks free slots in Cliniko, books new patients and follow-ups, and moves or cancels appointments when patients ask.

  • PracticeHub

In PracticeHub, CAi books the right appointment type with each osteopath, and the booking lands in the diary straight away.

  • Jane App

If your practice runs on Jane App, we go through your account with you on the video call before CAi takes any bookings.

  • Google Calendar

For an osteopath renting a room, CAi books into your Google Calendar and leaves alone the hours you’ve blocked out.

  • Using something else

If your diary isn’t on this list, tell Josep on the video call. He’ll look at how your system works with you and tell you plainly what CAi can do with it.

Solo or several rooms

From one treatment room to a group practice

Plenty of osteopaths work alone or rent a room in someone else’s clinic. Others run a practice with several associates. CAi fits both.

Solo practice

An osteopath working alone

When you’re the only one there, every call during a treatment goes unanswered. CAi picks up, books the patient into your diary and sends you a summary to read between patients, once your hands are free.

  • Answers while your hands are busy
  • Books into your own diary
  • A short summary of every call
An osteopath with both hands on the lower back of an older patient lying on her side
Group

Several osteopaths, one front desk

With associates working different days and rooms, CAi knows who is in when, keeps each patient with their usual osteopath and gives new patients the first free slot that suits them.

  • Each osteopath’s days and hours respected
  • Returning patients stay with their osteopath
  • Alerts reach the right person on WhatsApp

Track record

A receptionist that sounds like your practice

CAi is made by QuiroAds, which has worked with health clinics since 2020.

More than 30 clinics already work with HeyCAi. More than 15,000 enquiries handled. Rated 4.9 out of 5 for satisfaction.

CAi learns your practice before it answers: your website, your appointment types, your osteopaths and your hours. The new patient unsure what to book and the regular who wants their usual slot both get your practice’s answers.

It runs in shadow mode on real calls first, and goes live once you are happy with it. Up and running in about 20 days.

Try it on your own practice: enter your website in the demo below. Your phone rings in about 30 seconds.

Frequently asked questions

Something else on your mind? Ask Josep on the video call. Book a video call with Josep

Can CAi tell parents whether we treat babies?

Yes, with the words you give it. If you see babies and children, CAi says so, explains how the first appointment works and books it. If you don’t, it says so politely. It never tells a parent whether osteopathy is suitable for their child: that question always comes to you.

What does CAi say to a pregnant patient who wants to book?

It reads out the information your practice has approved, for example whether you see patients during pregnancy and which osteopath does. Then it books the appointment or takes a message. It doesn’t comment on symptoms or on whether treatment is right at that stage.

Will it book a longer slot for a first consultation?

Yes. You tell us how long your first consultations and follow-ups take, and CAi books each with its own length. It asks whether the caller has seen you before, so a new patient doesn’t end up in a short follow-up slot.

A caller asks if they need a GP referral. What does CAi say?

Exactly what your practice has told it to say, usually that private osteopathy can be booked directly. If the caller still has questions about it, CAi takes a message for your team.

I work alone and rent a room. Do I need a new phone number?

Keep your number: calls go to CAi when you can’t answer, out of hours or always. You choose. If you work alone, a simple option is to send calls to CAi while you’re treating, so the phone stops interrupting your first consultations.
