For physiotherapy clinics

AI receptionist for physiotherapy clinics

You’re halfway through a knee rehab session, the patient is on the plinth and the phone starts ringing at the front desk again.

CAi picks it up. It books the new patient with the right physio, moves Thursday’s follow-up and answers the question about parking, while you carry on treating.

  • Books assessments and follow-ups in your diary
  • Knows which physio sees what
  • Sends WhatsApp reminders before each session

The calls you get

What a physio clinic’s phone really sounds like

Most of the calls that pull you off the plinth are routine. They still need someone who knows your diary, your physios and how a course of treatment runs.

  1. First visits for acute pain

A runner with a sore Achilles, someone whose back went this morning. CAi asks what it’s about, offers the earliest initial assessment and leaves a note for the physio. It never says how serious it sounds.

  2. Courses of treatment and follow-ups

Rehab rarely ends in one visit. CAi books the next follow-up in the course, keeps the usual day and time when the patient asks for it, and finds another slot if that one has gone.

  3. Several physios, several diaries

Your MSK lead, the sports physio, the women’s health specialist. CAi books each patient with the physio they see, or with whoever does that kind of session, and respects every appointment length.

  4. Cancellations, DNAs and the waiting list

When someone cancels the night before, CAi frees the slot in the diary and can offer it to a patient who wanted an earlier session, so the gap doesn’t turn into another DNA.

Live call
A Tuesday afternoon call

Hannah Hi, I’ve hurt my shoulder at the gym. Do you have anything this week?

CAi Sorry to hear that. I can book you an initial assessment. Would you rather see Tom, our sports physio, or the first physio available?

Hannah Tom sounds good. When can he see me?

CAi Tom has Thursday at ten or Friday after lunch.

Hannah Thursday, please.

CAi Booked: Thursday at ten with Tom. I’ll send the details and what to wear on WhatsApp now.

Where it stops

Your reception, not a second physio

CAi handles the admin side of a physio clinic. Anything clinical stays with your physiotherapists, and you decide what it may say.

CAi waving hello

What it does

  • Explains what an initial assessment involves, using your own description.
  • Books each type of session with its length: assessment, follow-up, class, home visit.
  • Tells patients what to wear and what to bring, as you’ve written it.
  • Answers about parking, access and opening times from your approved information.

What it leaves to you

  • It doesn’t suggest exercises, heat or ice, or whether to rest.
  • It doesn’t say whether a pain needs a scan, a GP or physiotherapy at all.
  • It doesn’t promise how many sessions a recovery will take.
  • It never books a session type you haven’t set up in the diary.
  • It doesn’t assess urgency or give clinical advice: that’s for your team to decide.
Your clinic

Your clinic: Hi Hannah, a reminder of your physio session with Tom tomorrow at ten. Please wear shorts or loose trousers so he can look at your knee.

Your clinic: Reply YES to confirm or CHANGE if you need another time.

Patient: CHANGE, I’ve got a work meeting

Your clinic: No problem. Tom can see you on Friday at half past eight or at four. Which suits you?

Patient: Friday at four please

Your clinic: Done: Friday at four with Tom. See you then.

Patient messages

Messages that keep a course of treatment on track

Most physio no-shows are a forgotten follow-up halfway through a plan. CAi writes to patients on WhatsApp so they turn up, and so they come back.

  • Reminders with what to bring

Shorts for a knee, a vest top for a shoulder, the surgeon’s letter after an operation. The reminder says it, so nobody has to change in the car park.

  • Confirm or move in one reply

The patient answers the reminder. If they can’t make it, CAi offers another slot with the same physio and updates the diary.

  • A nudge after discharge

Weeks after the last session, a short message asks how they’re getting on and offers a check-up, worded the way your clinic speaks.

Reminders cut no-shows by 67%.

For you and your team

Ask your diary a question between patients

You and your physios can message CAi on WhatsApp like a colleague at the desk. It reads the diary and acts on it.

  1. YouWho’s on Laura’s list this afternoon?
  2. CAiLaura has five patients this afternoon: two initial assessments and three follow-ups. The first is at two.

Your diary

Works with the physio software you already use

CAi books into the diary your physios already look at, so there is one diary and nothing to copy across.

  • Cliniko

Checks each physio’s free times and books assessments and follow-ups straight into Cliniko.

  • PracticeHub

Books, moves and cancels in PracticeHub, so the front desk and the phone always agree.

  • Jane App

For clinics whose diary lives in Jane App: what CAi does and what we check first.

  • Google Calendar

A solo physio with a Google Calendar diary can have CAi book straight into it.

  • Using something else?

Tell us on the video call with Josep. We look at how your physio software works and how CAi books into it.

Clinic size

From one treatment room to several clinics

What changes is who CAi books with and where. How it answers stays the same.

Solo practice

A physio working alone

No receptionist, and your hands are busy all day. CAi becomes the front desk you don’t have: it answers between and during sessions, fills your diary and lets you read the day on your phone.

  • Answers while you’re treating
  • One diary, booked without you
  • Messages you only what needs you
CAi and a phone running HeyCAi in a treatment room
Group

Several clinics and physio teams

Patients call the main number and want the nearest clinic or their usual physio. CAi books by site, by physio and by session type, and your managers see the same diaries.

  • Books by site and by physio
  • Same answers at every clinic
  • Covers the desk when it’s busiest

Track record

Clinics already trust CAi with their phone

HeyCAi is made by QuiroAds, which has worked with health clinics since 2020.

More than 30 clinics already work with HeyCAi. More than 15,000 enquiries handled. Rated 4.9 out of 5 for satisfaction.

Before it takes a call, CAi learns your clinic: it reads your website, your treatments, your physios and your opening hours, so patients hear your reception, not a script.

Then it works in shadow mode on real calls, and goes live only once you have signed it off. Up and running in about 20 days.

Hear it with your own clinic: put your website into the demo below. Your phone rings in about 30 seconds.

Frequently asked questions

Something else on your mind? Ask Josep on the video call. Book a video call with Josep

Can CAi tell a new patient apart from a follow-up?

Yes. It asks whether they have been before and books an initial assessment or a follow-up, each with the length you set. If a returning patient wants a new problem looked at, it books whatever session type you tell it to use for that.

Does it work with several physios and different session lengths?

Yes. Each physio keeps their own diary, and each session type keeps its own length. CAi books with the physio the patient usually sees, or with whoever offers that kind of session, and never puts a long assessment into a short gap.

Will it give exercise or injury advice on the phone?

No. CAi never gives clinical advice, not even something as small as ice or rest. If the patient wants advice, it offers the earliest appointment or a call back from a physio, as you prefer.

Can it help with DNAs and late cancellations?

Yes. Reminder calls 24 hours and 2 hours before the appointment, with the option to reschedule there and then. When a patient cancels, the slot is freed straight away and CAi can offer it to someone who asked for an earlier session.

We run classes and home visits as well. Can it book those?

If they live in your diary as appointment types, yes. During setup we go through each type with you: Pilates classes, home visits, hydrotherapy. CAi only offers what you’ve set up, with the capacity and the area you define.
