AI receptionist for dental, podiatry and other health clinics

You’re halfway through a filling, gloves on and the patient’s mouth open, when the front-desk phone starts ringing.

CAi picks it up for you. A check-up, a first psychology session or an assessment for a child: it books into your diary and tells you what came in, whatever your specialty.

  • Dental, podiatry, psychology, nutrition, speech therapy
  • Each appointment type booked at its own length
  • Discreet with every patient who rings
  • Dental A filling’s come out, can I come in today?
  • Podiatry My ingrown toenail is getting worse, any slots?
  • Psychology I’d like to book a first session, please.
  • Nutrition Can my follow-up be online this time?
  • Speech therapy I’d like an assessment for my daughter’s speech.
  • Any other specialty Occupational therapy, massage therapy: your services, your diary.

The calls you get

What patients ring a dental, podiatry or therapy practice about

Each specialty has its own calls, its own appointment lengths and its own sensitivities. These are the calls CAi is set up to handle for clinics outside physiotherapy, osteopathy and chiropractic.

  1. Dental

    Check-ups, hygiene and recalls

A check-up, a hygiene appointment and a filling each have their own length and their own practitioner. CAi books each one with the dentist or the hygienist, and books routine check-ups when a patient’s recall comes due.

  2. Podiatry

    Ingrown toenails, gait and insoles

An ingrown toenail, a biomechanical assessment and an orthotics fitting each have their own length and room. CAi books the right one and notes whether the patient already has insoles you’ll want to look at.

  3. Psychology

    First sessions, handled with discretion

Someone calling a psychologist for the first time may have put it off for weeks. CAi keeps the call short and private: it never asks why they want therapy, offers a first session and confirms it.

  4. Nutrition

    First consultations and online follow-ups

A first nutrition consultation runs longer than a review. CAi books each at its proper length, offers an online session when you run them, and reminds the patient what to bring or send beforehand.

  5. Speech therapy

    Parents booking an assessment

Usually it’s a mum or dad calling about a child. CAi takes the parent’s details and the child’s name and age, books the first assessment with the right therapist and tells them how long it lasts.

Live call
A dental patient due a check-up

Hannah Hi, I got a message saying I’m due a check-up. Can I have a clean on the same day?

CAi Of course. Dr Shah has Tuesday at nine, and the hygienist is free straight after, at half past. Shall I book both?

Hannah Yes, please, both.

CAi Could I take your full name?

Hannah Hannah Green. One of my fillings has been a bit sensitive. Is that something to worry about?

CAi That’s one for the dentist, so I won’t advise on it, but I’ve noted it for Dr Shah. You’re booked in for nine and half past on Tuesday, and the details are on WhatsApp now.

Hannah Brilliant, thank you.

CAi Take care, Hannah. See you on Tuesday.

Where CAi stops

Where the dentist, the podiatrist or the psychologist takes over

A toothache or a swollen foot needs a clinician, never a receptionist’s opinion. CAi books the appointment, and the clinical side stays with you.

CAi waving hello

What it does

  • Books check-ups, hygiene appointments, nail appointments, first sessions and assessments into the right practitioner’s diary.
  • Books a check-up and a hygiene appointment back to back when the patient wants both.
  • Sends each specialty’s own WhatsApp reminder, with what to bring.
  • Tells callers which specialties and practitioners you have, and whether a session can be online.

What it leaves to you

  • It doesn’t assess urgency or give clinical advice: that’s for your team to decide.
  • It never recommends painkillers or home remedies, even when asked.
  • It never asks a psychology patient why they want therapy.
  • It never leaves a voicemail or message that mentions the reason for the visit.
Your clinic

Your clinic: Hi Tom, a reminder of your biomechanical assessment with Laura tomorrow at half past ten.

Patient: Thanks. Do I need to bring anything?

Your clinic: Please bring the shoes you wear most days, your running trainers too, and any insoles you have.

Patient: Will do. See you tomorrow.

Your clinic: See you then. Reply here if you need to change the time.

WhatsApp before and after

Reminders written for each specialty

A dental recall, a podiatry assessment and a therapy session each need a different message. CAi sends the one that fits, and patients can reply to confirm or move it.

  • Check-up and hygiene recall

When a patient is due a check-up or a hygiene appointment, CAi messages them on WhatsApp with a couple of free slots and books the one they choose.

  • Podiatry: what to bring

Before a biomechanical assessment, the reminder asks the patient to bring the shoes they wear most days, their trainers if they run, and any insoles they already use.

  • Psychology: a discreet reminder

The session reminder gives the day, the time and the address or video link. Nothing about what the therapy is for, in case someone else picks up the phone.

  • Nutrition: your food diary

The day before a nutrition consultation, CAi reminds the patient to bring or send their food diary, and offers to move the appointment if the day no longer works.

For you and your team

Ask CAi about the diary between patients

Dentists, podiatrists, therapists and the front desk can message CAi on WhatsApp, between appointments, to check what came in and who’s booked.

  1. YouWhat came in this morning while I was in surgery?
  2. CAiThree calls. Two check-ups booked for next week, and Ruth Allen moved her hygiene appointment to Friday. All three have the details on WhatsApp.
  3. YouWhich hygiene patients are overdue for their recall?
  4. YouWho’s booked for a biomechanical assessment on Thursday?
  5. YouDid yesterday’s psychology enquiry book a first session?

Your diary

Booking into the diary your practice already runs on

CAi checks free slots while it talks, books, moves and cancels, and the appointment lands in your diary with the practitioner and appointment type the patient needs.

  • Google Calendar

If you run your therapy or nutrition sessions from Google Calendar, CAi checks your free time and books first sessions and follow-ups straight into it.

  • Cliniko

With Cliniko, CAi reads each practitioner’s appointment types, so a nail surgery and a routine podiatry visit go in at the right length.

  • QuiroHiro

QuiroHiro keeps the diary, the patient record and the WhatsApp conversations together, and CAi books, moves and cancels there.

  • Jane App

If your practice books in Jane App, CAi can book there too; on the video call we go through your account with you first.

  • If your diary isn’t listed

Plenty of dental and podiatry systems aren’t on this list. Tell Josep which one you use on the video call and we’ll look at it together before you decide anything.

Solo or group

From one therapy room to a practice with several surgeries

A psychologist working alone and a dental group with hygienists need different things from the phone. CAi is set up around how your practice actually works.

Solo practice

Working on your own

A psychologist, dietitian or speech therapist working alone can’t answer the phone mid-session. CAi books first sessions and follow-ups, sends the reminders and tells you on WhatsApp what came in while you were with a client.

  • No calls breaking into a session
  • Online and in-person sessions in one diary
  • A summary of every call on WhatsApp
Group

Several practitioners or sites

A dental practice with dentists and hygienists, or a podiatry clinic with several rooms, needs each call to reach the right diary. CAi books by practitioner, room and appointment type, and tells callers which site has the earliest slot.

  • Dentists and hygienists booked separately
  • Rooms and appointment lengths respected
  • Each site’s own hours and services

Your specialty, your clinic’s own answers

HeyCAi is made by QuiroAds, which has worked with health clinics since 2020.

More than 30 clinics already work with HeyCAi. More than 15,000 enquiries handled. Rated 4.9 out of 5 for satisfaction.

Whatever your specialty, CAi learns your clinic before it answers: your website, your services, your practitioners and your hours. A dental recall, a podiatry check-up or a first therapy session each gets your clinic’s own answer.

It works in shadow mode on real calls first, and goes live once you have signed it off. Up and running in about 20 days.

Hear it with your own clinic: enter your website in the demo below. Your phone rings in about 30 seconds.

Frequently asked questions

Something else on your mind? Ask Josep on the video call. Book a video call with Josep

Is it discreet enough for a psychology practice?

It keeps first-session calls short and never asks why someone wants therapy. Reminders give the time and the address or video link and nothing about the therapy itself. It won’t leave a voicemail about the reason for the visit.

Does it work for a podiatry clinic with several rooms?

If your diary shows rooms and appointment types, CAi books nail surgery, routine podiatry and biomechanical assessments at their own lengths, in the room and with the podiatrist each one needs. Before an assessment, the WhatsApp reminder tells the patient which shoes and insoles to bring.

Can it book online nutrition consultations as well as in-person ones?

Yes, if you offer both. CAi asks the patient which they prefer, books the first consultation or the follow-up at its own length and sends the address or your video link in the WhatsApp confirmation, with a reminder to bring their food diary.

Can a parent book a speech therapy assessment for their child?

Yes. CAi takes the parent’s name and phone number and the child’s name and age, books the first assessment with the right therapist and sends the parent the confirmation on WhatsApp. It doesn’t ask about the child’s difficulties beyond what your team wants noted.

My specialty isn’t listed here. Does it still work?

Occupational therapy, massage therapy and other health specialties work the same way: CAi answers with your services, your practitioners and your opening hours, and books into your diary. The quickest way to check is the demo, which reads your clinic’s website before it calls you.
